Office Assistant/Front Desk Manager - Residence Hall

Position Overview


The Office Assistant/Front Desk Manager (OA/FDM) is a student staff position for the Office of Residence Life at SPU. As a member of the ORL Department, the OA/FDM reports directly to a Residence Life Coordinator (RLC) or Area Coordinator (AC).

The OA/FDM will serve as the primary peer supervisor for the Front Desk Team in the residential area in which they are hired. They support essential building functions by providing oversight to the scheduling and administration of the front desk, overall operations of the fitness center(s), and general safety of the residential environment., especially in the main lobby/entrance of a residence hall.

The OA/FDM also plays an integral role in supporting the work of RLCs/ACs by maintaining positive working relationships with all residents and building staff members and assisting in the weekly administrative management of a residential community. They will work on various projects on behalf of RLCs and ACs.
 


Required Qualifications 


  1. Be in good standing with Seattle Pacific University and the Office of Residence Life.
  2. Current undergraduate student enrolled in at least 6 credits and familiarity with living area



Preferred Qualifications


  1. Resides in living area with at least 9 credits (per housing eligibility)
  2. Sensitivity and open-minded attitude towards students of different racial, religious, gender, ethnic, ability, gender identity, and other backgrounds.
  3. Ability to work independently with little direct supervision, take initiative with other team members to work collaboratively and communicate proactively.
  4. Ability to work varied hours primarily evening and weekends. Must be available for Fall, Winter, and Spring quarters OR communicate any potential leaves of absence prior to beginning employment.



General Responsibilities


  1. Attend and help facilitate any training, meetings, or required reading materials.
  2. Create the front desk schedule at least 2 weeks in advance and fulfill agreed upon hours. Work with other desk workers to ensure coverage for the front desk during open hours by providing optimal availability.
  3. Create a welcoming atmosphere for residents and visitors as they enter the hall by being courteous, outgoing, and obliging to all patrons.
  4. Exemplify positive academic behaviors and help students to create an environment that is conducive to studying by monitoring lobby areas for noise and cleanliness.
  5. Responsible for maintaining confidentiality of student information.
  6. Utilize resources available to answer questions residents or visitors might have and refer as needed.
  7. Be aware of your surroundings and report any suspicious behavior or activity to the RA On-Call or OSS.
  8. Maintain the front desk lobby and REX’s aesthetic value and report any maintenance or cleaning issues.
  9. Understand the REX guidelines that residents are asked to abide by and enforce them as necessary (see Front Desk Manual for detailed rules/guidelines).
  10. Complete finance paperwork in a timely manner.
  11. General office tasks including filing, copying, data entry, etc.
  12. Complete special projects, on-campus errands or tasks as assigned by RLC/AC. This may include special programming for the REX facilities, creating surveys and feedback channels, and helping to improve the overall services of the REX facilities.
  13. Oversee the lubrication/vinyl protecting and cleaning schedule for exercise equipment.
  14. Fill out work orders for sanitary wipes/cleaning supplies as they run low. Ensure the REX is being cleaned on a regular basis and report any issues to Facilities/Housekeeping.



Supervision Responsibilities


  1. Communicate important information to Front Desk Team.
  2. Relay any programming or area concerns to supervisor for feedback/insight.
  3. Managing area budget in collaboration with ACs/RLCs.
  4. Helping to maintain area programming event calendar in collaboration with hall leadership.
  5. Other duties as assigned.

*We hire with the intention that the OA/FDM will maintain this position for the entirety of the 2022 – 2023 academic year (September – June).*
