Human Resources Office Assistant

General Summary: Office support for the HR department, assists the HR staff with daily tasks and special projects.

Duties and Responsibilities:
  • Maintains front desk when Office Assistant is absent (greet visitors, answers phones, direct calls and questions to appropriate staff members, assist walk-ins, open and sort mail).
  • Make daily campus inter-office deliveries, copying, shredding, scanning and faxing .projects.  
  • Maintains inventory for office and kitchen supplies.
  • Sorts and maintains I-9 for active and termed employees.
  • Assists in preparing orientation packets and conference room for new employee orientation.
  • Scans leave of absence files for terminated employees.
  • Creates and maintains packets for retirement, maternity leave, etc. 
  • Audits Cobra bill on monthly basis.
  • Processes Unemployment Quarterly Tax Review. Assist with special events as needed (i.e. Retirement Readiness Seminar, Benefits Fair, retirement plan audit, etc.).
  • Assists in creating monthly performance evaluations and tracks completions. 
  • Creates new employee files and track employee training completions and other new hire items.
  • Enters Background Checks and other training completions into Banner.
  • Assists Senior Data Specialist with copying and delivering processed payroll forms (PAFs) to departments.
  • Processes adjunct and overload contracts for current employees.
  • Completes daily and occasional project filing, process files for terminated employees and maintain current records purge process and update scanning index monthly..
  • Other office duties/projects as assigned.

General Qualifications:

  • Proficient with Microsoft Office products such as Outlook, Word, and Excel.
  • Previous office/customer service experience preferred.
  • Attention to detail, familiarity with computer spreadsheets and word processing software.
  • Gracious spirit exhibited towards all employees, enthusiastic commitment to mission of SPU.
  • Knowledge of/experience with SPU’s BANNER information system a plus.
  • Preference given to applicants who are able to work part time during summer and breaks during the school year.
  • Ideal start date for position, week of June 10 or June 17, 2019.
